Vox Coaching determines the purposes and means of processing personal data described in this Policy. Where third parties process personal data for their own purposes (for example, payment providers), those third parties are responsible for their own processing and you should review their privacy disclosures separately.

2) Scope of this Policy

This Policy applies to personal data processed by Vox Coaching in connection with:

  1. Website access and use, including security and basic analytics.

  2. Sales, billing, payment processing, and financial reconciliation.

  3. Service delivery, including one-to-one coaching, group programs, cohorts, workshops, and events delivered online or in person.

  4. Communications, including email and administrative messages regarding your purchase, access, scheduling, and support.

  5. Marketing and advertising activities carried out by Vox Coaching, including where we use advertising platforms and measurement tools.

This Policy does not apply to third-party websites or platforms that may be used to deliver parts of the service (for example, scheduling systems, learning platforms, videoconferencing, or social media platforms) except to the extent Vox Coaching controls the processing taking place within those systems.

3) Categories of personal data we collect

We collect personal data in the following ways: directly from you, automatically through your use of the website, and from service providers that support payments, scheduling, and delivery.

A. Identity and contact data
This includes your name, email address, phone number, country, and any information you choose to provide when you contact us, submit a form, register for a program, or otherwise communicate with Vox Coaching.

B. Purchase, billing, and transaction data
This includes invoice details, payment status, transaction identifiers, billing address if provided, VAT or tax information if applicable, and records necessary to reconcile accounts and maintain financial books. Vox Coaching does not store full payment card numbers on its own systems. Payment card data and comparable financial credentials are handled by payment providers.

C. Service delivery and participation data
This includes session bookings, attendance records, program enrollment status, access credentials for program delivery systems, and administrative information necessary to provide the services you purchase. It also includes communications you send to Vox Coaching in connection with service delivery.

D. Communications and support data
This includes emails, messages, support requests, and operational correspondence. It may include limited notes necessary for continuity of delivery, safeguarding the integrity of group spaces, and addressing disputes or chargebacks. Vox Coaching minimises internal notes and processes only what is necessary for the purpose.

E. Website, device, and usage data
This includes IP address, browser type, device identifiers, time zone or locale settings, referring pages, pages viewed, and security logs. This data is used to operate the website reliably, prevent abuse, and understand aggregate usage patterns.

F. Marketing and preference data
This includes your consent status, subscription preferences, and interactions with marketing communications where such processing is permitted or based on consent.

Sensitive personal data
Vox Coaching does not request sensitive personal data as a condition of purchase. If you voluntarily share sensitive information in coaching or group contexts, Vox Coaching will treat it with strict confidentiality within the limits of law and this Policy. You should not share sensitive personal data through insecure channels.

4) Purposes for which we process personal data

Vox Coaching processes personal data for the following purposes:

Service delivery and administration
To provide the coaching, facilitation, educational programs, cohorts, workshops, events, and digital materials you purchase. This includes scheduling, access management, participant administration, and ensuring the service is delivered as described.

Communications
To send operational communications necessary to deliver the service, including confirmations, instructions, access notices, schedule changes, and support responses. Where permitted, Vox Coaching may also send communications about related offerings. You can opt out of marketing communications at any time.

Payments, invoicing, and accounting
To issue invoices, process payments, confirm receipt of funds, manage installment plans if offered, maintain records necessary for bookkeeping, handle refunds only where required by law, and address payment disputes and chargebacks.

Security and integrity
To protect the website, systems, programs, and participants from fraud, abuse, unauthorised access, and other security risks. This includes identity verification where necessary to protect clients, enforce terms, or comply with legal requirements.

Improvement and operational performance
To understand how the website and delivery systems perform, diagnose errors, improve user experience, and develop operational quality. Where possible, Vox Coaching uses aggregated data and minimises personal data processing.

Marketing and advertising measurement
Where Vox Coaching uses advertising platforms, we may measure campaign performance and conversions. This may involve cookies or similar technologies, subject to your consent preferences where required by law.

5) Legal bases for processing

Vox Coaching relies on one or more of the following legal bases depending on context:

Contract necessity
Processing is necessary to perform the contract with you, including delivery of services, administration of participation, and related communications.

Legal obligation
Processing is necessary to comply with legal obligations, including accounting, record retention, and regulatory requirements.

Legitimate interests
Processing is necessary for Vox Coaching’s legitimate interests, such as ensuring service continuity, maintaining website security, preventing fraud, improving operations, and running the business efficiently, provided those interests are not overridden by your rights and freedoms.

Consent
Where required, Vox Coaching relies on your consent, particularly for certain marketing communications and non-essential cookies or tracking technologies. You may withdraw consent at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.

6) Payments and financial processing (Stripe and Wise)

Vox Coaching may use third-party payment providers, including Stripe and Wise, to process payments, facilitate transfers, and support invoicing and reconciliation. When you pay, certain personal data must be shared with the payment provider in order to complete the transaction, prevent fraud, and comply with financial and regulatory obligations.

Depending on the payment method and configuration, the payment provider may process your data as a processor for Vox Coaching or as an independent controller for its own legal and compliance purposes. Vox Coaching does not control the payment provider’s independent processing, including anti-fraud checks, regulatory monitoring, and recordkeeping obligations.

Vox Coaching receives from payment providers only the information necessary to confirm payment, reconcile accounts, provide access to the purchased service, and respond to disputes.

7) Advertising platforms and Meta/Facebook tools

Vox Coaching may use advertising and measurement tools offered by advertising platforms, including Meta platforms (such as Facebook and Instagram). Depending on the tools used, data may be processed to:

  • measure whether advertising resulted in a purchase or inquiry

  • create aggregated performance reports

  • improve audience targeting within the advertising platform

If Vox Coaching uses lead forms on a platform, information you submit through that form may be transmitted to Vox Coaching and processed to respond to your inquiry, deliver requested information, and, where permitted, follow up regarding related offerings.

Where required by European law, Vox Coaching will obtain your consent before enabling non-essential cookies or advertising measurement on this website.

8) Cookies and similar technologies

This website may use cookies and similar technologies to support functionality, security, performance, and measurement.

Essential cookies are necessary for basic operation and security and may be used without consent where permitted by law.

Non-essential cookies and trackers may be used for analytics and advertising measurement. Where required, Vox Coaching will request consent before placing or reading non-essential cookies or trackers on your device. You can modify cookie preferences through the mechanisms made available on the website, if implemented, or through your browser settings. Disabling certain cookies may affect site functionality.

9) Disclosures and recipients of personal data

Vox Coaching discloses personal data only where necessary and proportionate to the purposes described in this Policy. Recipients may include:

Service providers and processors
Providers supporting hosting, email delivery, scheduling, videoconferencing, learning platforms, file storage, customer support, and accounting operations. These providers receive only the data necessary to perform their services. Where required, Vox Coaching uses contractual safeguards, including data processing agreements.

Payment providers
Providers such as Stripe and Wise, to process payments and support reconciliation, dispute handling, and compliance.

Professional advisers
Legal, accounting, and consulting advisers where necessary to obtain advice, enforce agreements, or manage disputes.

Authorities and legal enforcement
Where required by law, court order, or to protect rights, safety, and security, including fraud prevention and responding to lawful requests.

Vox Coaching does not sell personal data.

10) International transfers

Some service providers may process personal data outside Norway or the EEA. Where this occurs, Vox Coaching uses appropriate safeguards required under applicable law, such as recognised transfer mechanisms and contractual protections. The specific safeguards depend on the provider and the transfer context.

11) Data retention

Vox Coaching retains personal data only for as long as necessary for the purposes described in this Policy, including:

  • delivering services and administering access

  • maintaining financial books and records

  • addressing disputes, chargebacks, and enforcement

  • meeting legal and regulatory retention obligations

Retention periods vary depending on the type of data and the legal basis. Vox Coaching periodically reviews retained data and deletes or anonymises data when it is no longer required.

12) Confidentiality, recordings, and group environments

Confidentiality
Vox Coaching treats coaching and program communications as confidential to the extent reasonably possible and lawful. Confidentiality does not apply where disclosure is required by law or necessary to protect vital interests, prevent fraud, or address security threats.

Recordings

Access to recordings is limited to authorised persons and retained only as long as necessary for the stated purpose.

Group environments
Group programs may involve participant interaction. Vox Coaching cannot guarantee the actions of other participants. Participants may be required to agree to confidentiality terms as a condition of participation, but breaches by participants are outside Vox Coaching’s direct control. Vox Coaching will take reasonable steps within its control to protect the integrity of group spaces.

13) Security measures

Vox Coaching maintains administrative, technical, and organisational measures designed to protect personal data against unauthorised access, loss, alteration, and misuse. Measures may include access controls, authentication, least-privilege access, encrypted transmission where supported, and internal policies governing data handling.

No system can be guaranteed perfectly secure. You are responsible for safeguarding your own devices, passwords, and access credentials.

16) Children

Services are intended for adults. Vox Coaching does not knowingly collect personal data from individuals under 18. If you believe a minor has provided personal data, contact team@davidvox.com and we will take appropriate steps.
